Privacy Policy
Racimo · Last updated 16 October 2026
Racimo is practice-management software for freelance professionals and health professionals. This policy explains what we collect, why, and what we do not do with it.
Two kinds of people appear in this policy. A practitioner has a Racimo account and signs in with Google. A client never has an account — they may book a session through a practitioner's public booking page, and their details belong to that practitioner, not to us.
In short: what we keep and why
| What we keep | What for | Who decides |
|---|---|---|
| Practitioner's Google name, email and photo | Identifying the account | Racimo |
| Practitioner's Google Calendar events | Not booking over existing commitments; showing sessions in their calendar | The practitioner, who can revoke it |
| Practice details, schedule, services, prices, tax ID | The booking page and issuing receipts | The practitioner |
| Client records and notes | The practitioner's work, nothing else | The practitioner; Racimo stores them on their behalf |
| A client's name, email, phone | Booking, confirming, reminding | The practitioner |
| A client's RUT | The receipt Chilean tax law requires | The law |
| Sessions and payments | Making the session exist and be paid; tax set-asides | The practitioner |
Visits. We count how many times Racimo is opened each day — the home page, booking pages, the app. It is a number per day: no IP address, no cookie for this, and no way to know who visited.
What we do not do: sell data, share it for commercial purposes, advertise with it or profile anyone. Money does not pass through Racimo either.
1. Who is responsible for your data
For a practitioner's own account data — their name, email, settings and billing status — Racimo is the data controller.
For client records a practitioner enters — names, contact details, session notes, tax identifiers — the practitioner is the controller and Racimo is the processor. We store and protect that data on their instruction. We do not decide what is collected, we do not use it for our own purposes, and a client wishing to access or delete their record should contact their practitioner.
This distinction matters because session notes can constitute health data, which is a special category under the GDPR and equivalent protections elsewhere. Practitioners remain responsible for the lawful basis on which they record it.
2. Data we collect
From Google, when a practitioner signs in
| What | Why |
|---|---|
| Name, email address, profile picture | To identify the account and display who is signed in |
Google Calendar events (calendar.events scope) | To prevent double-booking and to mirror appointments into the practitioner's calendar |
Entered by the practitioner
- Practice details: display name, professional title, biography, working hours, time zone, country and tax registration
- Client records: name, email, phone, notes, and — where invoicing requires it — a tax identifier such as a Chilean RUT
- Appointments, including any session notes or prescription text the practitioner chooses to record
- Services, prices, coupons and loyalty rules
- Payments received, and the tax set-aside computed from them
- Documents the practitioner uploads, up to 2 MB each
Entered by a client when booking
- Name, email, phone, and any note they add to the booking
- A tax identifier — in Chile, the RUT. This is required to book, because every payment must be accompanied by a boleta and a boleta cannot be issued without it. A booking cannot be completed without one.
A client who books through a practitioner's public link becomes a client record in that practitioner's account, so that they can be contacted about the appointment and their receipt can be issued. Booking again with the same RUT adds to the existing record rather than creating a second one.
2b. The basis we rely on
Chilean Law 21.719 — in force from 1 December 2026 — requires the basis for each processing activity to be named. Ours are three, and none of them is advertising:
- Performance of a contract. A practitioner's account and a client's booking exist because someone asked for a service that has to be delivered: scheduling, charging, confirming, reminding.
- Legal obligation. Issuing a boleta de honorarios and everything it requires — the recipient's RUT, the amount, the withholding — is imposed by Chilean tax law, not chosen by us.
- Consent, for the Google Calendar scopes, asked separately and revocable at any time without losing the account.
Session notes, and the mere fact of holding an appointment with a psychologist, are sensitive data under that law. The practitioner is responsible for the basis on which they record them and for their clients' consent; we are responsible for how they are stored.
3. How we use Google user data
Racimo requests a single Google scope, calendar.events. We use it
only to:
- read busy periods, so a client cannot book an hour that is already taken;
- create, update and remove calendar events corresponding to appointments made in Racimo.
We do not read the contents of unrelated calendar entries beyond the times they occupy and their titles as shown in the busy view. Events written by Racimo are tagged so we can recognise them and avoid counting them twice.
Racimo's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not transfer Google user data to third parties except as necessary to provide the service, we do not use it for advertising, and we do not use it to train generalised artificial-intelligence or machine-learning models. No human reads it except where required for security or to resolve a support request a practitioner has raised.
A practitioner can disconnect Google Calendar at any time from Settings, which deletes our stored authorisation. Access can also be revoked from the Google Account permissions page.
4. Where data is stored
Data is held in a PostgreSQL database operated by Supabase in Ireland (eu-west-1), within the European Economic Area.
Every table enforces row-level security: a practitioner's records are readable only by that practitioner's authenticated session. Credentials — such as the token permitting calendar access — are stored so that they cannot be read back by any browser, only by server-side functions.
5. Who else processes data
| Provider | Purpose | Location |
|---|---|---|
| Supabase | Database, authentication, server functions | Ireland |
| Sign-in and Calendar | Global | |
| Hostinger | Serving the web application | EU |
| Mercado Pago | Taking the client's payment, into the practitioner's own merchant account | Chile / Argentina |
| API Gateway (apigateway.cl) | Transmitting boletas de honorarios to the Chilean tax authority on the practitioner's instruction | Chile |
When payment features are enabled, a practitioner connects their own Mercado Pago account. The client pays the practitioner directly and Racimo never receives, holds or transmits that money, and never sees card numbers — those are entered on Mercado Pago's own checkout. We are told only that a payment occurred, its amount, and which booking it belongs to, so that the booking can be confirmed. Racimo's own subscription fees are handled by a merchant of record, who is the seller for those transactions and receives only the billing details required to charge them.
Issuing tax documents in Chile
Where a practitioner asks Racimo to issue their boletas de honorarios electrónicas, they authorise a named person at Racimo as a usuario autorizado inside their own account at the Servicio de Impuestos Internos (SII). That authorisation is granted by the practitioner, in the SII's own portal, and can be withdrawn there at any time without our involvement.
Acting on that authorisation, and only when a payment has been recorded, we transmit to the SII — through API Gateway, the provider that carries the request — the practitioner's tax number and the amount, together with the name, tax number (RUT) and address of the person the document is made out to. This is the minimum the SII requires to issue the document. Racimo never asks for and never holds a practitioner's Clave Tributaria; the authorised-user mechanism exists precisely so that password is never shared.
A boleta, once issued, is a legal record held by the SII. Deleting your Racimo account does not withdraw it, and we cannot withdraw it for you.
We do not sell personal data, and we do not share it for advertising.
6. How long we keep it
Account and practice data is kept while the account is open. After an account is deleted, data is removed from our active systems within 30 days, and from routine backups within 30 days after that.
Practitioners can delete individual client records, appointments and documents at any time from within the application. Note that a document a practitioner is legally required to retain — an issued invoice, for example — may need to be kept by them for longer under their own country's tax law.
7. Your rights
Under the GDPR, and under Chilean Law 19.628 and Law 21.719, you may request access to your data, correction of it, deletion, restriction of processing, or a portable copy. You may also object to processing and lodge a complaint with a supervisory authority.
The six rights Law 21.719 recognises are access, rectification, deletion, objection, portability and blocking. Write to us and we answer within 30 calendar days, free of charge.
Practitioners should contact us directly. Clients should contact the practitioner holding their record; where we receive such a request we will forward it and help the practitioner answer it, which is our duty as their processor. From 1 December 2026 a complaint can also be lodged with Chile's Agencia de Protección de Datos Personales.
Deleting your account yourself
A practitioner can delete their account from within Racimo, under Settings. It takes effect immediately and removes the practice and everything in it — clients, appointments, payments, documents, settings and any connected Google or Mercado Pago authorisation. There is no grace period and no backup we can restore from, because an account that still held client records would not be deleted.
Two things survive it, and neither is ours to remove: boletas already filed with the SII, and the authorisation you granted inside your own SII account, which you should withdraw there.
8. Security
Connections are encrypted in transit. Data is encrypted at rest by our database provider. Access to production systems is restricted, and secrets that grant access to third-party services are held server-side only and are never delivered to a browser.
No system is perfectly secure. If a breach affecting personal data occurs, we will notify affected practitioners and the relevant authority as required by law.
If there is a breach
Where a security breach affects personal data we will notify Chile's Agencia de Protección de Datos Personales within 72 hours of becoming aware of it, as Law 21.719 requires, and will tell the people affected directly where sensitive data is involved or the risk warrants it. Affected practitioners are told either way.
9. Children
Racimo is not directed at children and practitioner accounts are for adults. A practitioner may record details of a client who is a minor; where they do, they are responsible for holding the necessary consent.
10. Changes
If this policy changes materially we will notify practitioners in the application before the change takes effect. The date at the top always reflects the current version.
